Estimates

The estimate first. The bookkeeping starts later.

Estimates are the newest part of KRONENWERK and they are complete: write, send, get an answer, revise, convert.

  • Writing it

    Lines, quantities, units, discounts and tax rates — the same fields and the same arithmetic as an invoice, so that one can become the other without retyping. What you quote often lives in your catalogue of products and services and is taken from there.

  • The page the customer gets

    Every estimate that is sent gets a hard-to-guess address of its own. It shows exactly one thing: that estimate. The customer needs no account, no password and no app — and the address can be revoked at any time.

  • Two answers, and no third

    Accept or decline. The acceptance binds to the revision that was on the page — not to whatever the draft says by now. A decline can carry a reason, and pressing the same button twice does not accept twice.

  • Revisions

    After sending, every material change creates a new revision and the old one stays beside it. A decline is rarely the end either: „too expensive“ becomes a new draft, and the declined revision stays readable so that it is still possible to see what the customer actually said no to.

  • An estimate posts nothing

    Not even when it is accepted. An estimate creates no receivable and no revenue, because both begin with the invoice. That is not an omission but the rule: nothing in the estimates code touches an account, a period or the ledger.

  • Converting

    An accepted estimate becomes an invoice with the same lines, without anybody retyping them. The estimate learns of it and is then closed; it does not reopen because somebody touched the invoice.

One word about this

„Viewed“ means viewed.

The „viewed“ state is set only by the protected estimate page actually being fetched. That a mail provider accepted a message is no evidence that anybody read anything — and somebody who follows up on „viewed“ should be acting on a fact rather than on a guess.
